BookingItNow integrates with Calendly to send your customers a personalized, single-use scheduling link the moment their order is fulfilled. The link is pre-filled with their name and email — they just pick a time.
Before you start
- You need an active Calendly account
- You should have at least one Event Type set up in Calendly (e.g. "Pool Cleaning Consultation")
Connecting your account
- In BookingItNow, go to Connect
- Click Connect Calendly
- You'll be redirected to Calendly to authorize the connection
- Log in to your Calendly account and click Allow
- You'll be brought back to BookingItNow — your account name will appear confirming the connection
Syncing your event types
After connecting, your Calendly event types sync automatically as Services. Go to Services to see them.
If you add new event types in Calendly later, click Sync services on the Services page to pull them in.
Linking a service to a Shopify product
- Open a service from the Services list
- Click Link Shopify product
- Search for and select the product a customer buys to book this service
- Optionally, link to a specific variant (e.g. "60-min session" vs "90-min session")
- Click Save
When that product is fulfilled, BookingItNow generates a booking link and emails it to the customer.
What the customer receives
Your customer gets an email with: - A "Choose Your Time" button linking to their personalized Calendly scheduling page - Their name and email are already filled in - The link is single-use — it can only be booked once - If they need to reschedule after booking, they use the link in their Calendly confirmation email
Routing forms
If you use Calendly Routing Forms to direct customers to the right event type, you can link to a routing form URL instead of a direct event type. Set this in the service settings under Routing form URL.
Tracking booking confirmations
When a customer books their appointment, Calendly sends BookingItNow a confirmation. The booking is marked Confirmed in your BookingItNow dashboard and the Shopify order is tagged and noted automatically.
Disconnecting Calendly
Go to Connect, find the Calendly section, and click Disconnect. This stops all new booking link generation. Existing bookings are not affected.
